How to define the intent-capture schema
Choose the next decision
Start with the decision the owner must make after intake, then work backward to the fields needed.
Keep the first step light
Ask for the minimum details that let you route, respond, or identify urgency.
Preserve the raw request
Store original wording alongside the normalized fields so a person can interpret nuance.
Route with context
Create the contact or case, attach source and intent, assign an owner, and state the next action clearly.
Worked case: capture intent from forms, funnels, and conversations
A business-coaching company receives webinar registrations, contact-form submissions, and direct messages. The first intake does not need a long qualification survey.
It captures name, a working contact method, source, the person’s stated goal, and whether they asked to speak. The assistant summarizes the intent into a category while preserving their original words.
The CRM record shows the source and consented contact path, then assigns a task to the owner. A later conversation can collect qualification details only if they are necessary for the promised next step.
