What you will learn

Set the messaging policy

You will be able to write and operate follow-up sequences that reflect a person’s stated intent, communication preferences, and real service promise.

Why this matters

Good agent work is useful before it is impressive.

Fast follow-up can help when someone asked to hear from a business. It becomes spam when it ignores context, consent, timing, or a clear way to opt out. An agent should increase relevance, not volume for its own sake.

Core concepts

The language that keeps the work clear.

Purpose limitationUse a contact channel for the reason the person reasonably expects and has permitted.
Trigger relevanceA message is connected to a clear action or stated interest, not merely a large list.
CadenceThe timing and number of attempts set deliberately for the context and channel.
SuppressionThe record and controls that prevent messages when someone opts out, becomes ineligible, or needs human service.
The practical method

How to set the messaging policy

Define the reason to message

Tie the first message to a real request, appointment, form, event, or permitted relationship.

Check channel and consent

Use client-approved processes for contact permissions, disclosures, regional rules, and opt-out handling.

Write one useful next step

Make the action clear: confirm, choose a time, reply with missing detail, review information, or speak to a person.

Monitor the response

Track replies, stop signals, complaints, and handoff needs. Adjust the sequence rather than increasing pressure.

Worked example

Worked case: use messaging for timely, welcome follow-up

A software company follows up after a visitor requests a product demo. Its first message references the request, states what happens next, and offers two simple ways to choose a time or ask a question.

If the visitor replies with a security question, the agent routes the case to a specialist instead of repeating the demo CTA. If the visitor says stop, the suppression record is updated and no further sequence runs.

The team reviews response quality, booked conversations, manual corrections, and complaints—not just send volume.

Build it in practice

Complete the working artifact

Trigger: [permitted event]. Channel and permission: [record]. Message purpose: [reason]. Next step: [one action]. Stop conditions: [list]. Human route: [role].
Practice

Before you move on

  • Rewrite one follow-up message around the recipient’s actual intent.
  • Add a clear stop and human-help route.
  • Review the sequence for a person who never responds.
  • The message has a clear reason and expected permission.
  • Timing is intentional.
  • Opt-outs and complaints stop the sequence.
  • Replies can reach a person with context.
