Google Calendar invitation not appearing?

A booking can be confirmed even when Google does not immediately place the invitation on a guest’s calendar. Here is what the organizer and guest should check.

The quick answer

Google lets each user decide whether invitations from everyone, known senders, or only invitations they have answered are added automatically. When a sender is not yet known, the guest may need to find the invitation email, respond to it, or add the organizer to Google Contacts.

For the person receiving the invitation

    Check the invitation email and spam folder

    Search the inbox and spam folder for the event title, organizer name, and booking time. If the invitation is present, open it and respond Yes, Maybe, or No.

    Review Google Calendar’s invitation setting

    On a computer, open Google Calendar, then go to Settings → General → Event settings → Add invitations to my calendar. Google offers “From everyone,” “Only if the sender is known,” and “When I respond to the invitation in email.”

    Make the organizer a known sender

    Add the organizer’s email address to Google Contacts or interact with their invitation. Google says future invitations from a known sender can then be added automatically, depending on the guest’s setting.

Google notes that invitation-setting changes apply to new invitations. They do not retroactively repair an older invitation.

For the booking host

Confirm the booking exists

Open Spacebrain Calendar’s Bookings page and confirm the attendee email, event time, and status. Correct a typo before sending another invitation.

Check the connected calendar

In Calendar Settings, verify that the intended Google account is connected. Reconnect it if the connection shows an error or the selected calendar is no longer available.

Send a fresh test booking

Use a new time and an address you control. A new booking separates a current delivery problem from an older invitation that was created under different Google settings.

Keep sending-domain authentication healthy

SPF, DKIM, DMARC alignment, TLS, valid DNS, and low spam complaint rates all affect Gmail delivery. Workspace administrators should monitor Google Postmaster Tools and their transactional mail provider.

Why Google does this

Google’s invitation controls are designed to reduce unwanted calendar events. An invitation from a new sender may remain pending until the guest interacts with it. This behavior is controlled by the guest’s Google account; a scheduling service cannot override it.

Separately, Gmail evaluates the message that carries the invitation. Google requires authentication and other sending practices for mail sent to personal Gmail accounts, and applies additional requirements to high-volume senders. Calendar visibility and email delivery are related, but they are not the same check.
