Choose the platform and configure the event

Core concepts

Role model: Hosts, cohosts, panelists, attendees, moderators, and producers have different controls. Give each person only what they need.

Latency tradeoff: Lower latency improves conversation but may reduce playback resilience. Choose based on real interaction needs and expected network conditions.

Data path: Document what registration, attendance, questions, poll answers, recordings, and chat data are stored, where they go, and who can access them.

The practical method

    1. Write must-have requirements Include audience size, participation, captions, recording, registration, integrations, reporting, security, and support.

    2. Create the event Set time zone, duration, roles, privacy, access, Q&A, chat, polls, captions, recording, and replay.

    3. Connect systems Map registration and attendance into CRM and email without overwriting source or consent.

    4. Run permission tests Verify panelists and moderators can do only what the show requires.

    5. Run attendee tests Join on desktop and phone, test captions, questions, links, recording notices, and recovery from a dropped connection.

Worked example

A panelist receives a host link and accidentally ends the rehearsal. The team replaces shared credentials with named roles, enables Q&A but limits attendee microphones, assigns a cohost producer, and documents who can start, record, stream, and end the event.
